Responsibilities:

  • Responsible for supervising staff and functions to ensure the department meets or exceeds company standards of excellence in customer service
  • Oversees and ensures effective quality control of all work taking place in the office
  • Knows and holds staff accountable to the formal and informal departmental goals, standards, policies and procedures
  • Coordinates maintenance and servicing of office equipment to ensure the department’s smooth workflow
  • Assists with maintaining calendar and scheduling appointments and meeting rooms
  • Handles telephone calls and customer service in a timely, professional, and courteous manner
  • Orchestrates sensitive to the interrelationship of both people and functions within the department
  • Exercises sound administrative judgment on a continuous basis and assumes responsibility for decisions and outcomes
  • Participates in interviewing job applicants for the department and conducts new employee orientations as needed
  • Researches and compiles information and reports in an efficient and accurate manner
  • Provides support in planning and organizing special events
  • Demonstrates excellent oral and written communication skills
  • Investigates and works to reconcile grievances and / or resolve complaints from clients
  • Provides administrative assistance of a complex nature
  • May serve as an office manager in directing a variety of support functions or services
  • Maintains required office inventory in an efficient and cost effective manner
  • Maintains consistent and professional attendance, punctuality, and appearance
  • Performs all duties assigned by the Manager

Qualifications:

  • An Associate’s Degree or Equivalent in a closely related field is preferred
  • A proven record of building profitable, sustainable client relationships
  • At least three years of experience as a client services supervisor
  • Business Development experience is a plus
  • Excellent written, oral communication, and interpersonal skills
  • Must have the ability to work well in a team environment and maintain good working relationships
  • Solid Computer knowledge and proficiency in software applications including MS Word, Excel, Publisher, and Power Point
  • Must have excellent organizational skills and the ability to multi-task in a fast paced environment
  • Requires a minimum accurate typing speed of 50 WPM

Physical Requirements and Working Conditions:

  • The functions of this position are performed primarily in an office environment
  • Operates a personal computer and other office related equipment
  • Regular activities include frequent sitting, standing, walking, reaching, bending, stooping, pushing, pulling, lifting and climbing stairs
  • Requires close visual acuity for viewing a computer screen and reading, preparing and analyzing data
  • Ability to speak, hear, and communicate clearly while handling telephone calls and customer requests
  • Requires repetitive motions of the wrists, hands and fingers for typing at a standard keyboard
  • The ability to pinch, pick up, and use pens, pencils and other standard office equipment
  • The ability to lift 30 pounds
